How to Encourage Attendance at Workplace

Author: Sameer Tendulkar

Attendance is critical for any business performance and has to be monitored scrupulously. Poor attendance reduces the performance of the entire team and leads to overtime expense for employers. For the supervisory team it means taking disciplinary action against the workers and in course of time looking for new people which again increases company costs. Therefore, in order to manage attendance and encourage employees to work certain steps must be adopted by employers for the long-term benefit of the company.

  • Track attendance: Proper and systematic attendance management system software should be installed so that employee working hours, leaves, and performances can be recorded faultlessly. The time-off rules should be same for all and tracked in a fair manner.

  • Make employees aware of the expectations and consequences: All workers should know the number of approved leaves and what will happen in case of continuous availing of unapproved leave.

  • Place a clear policy: An organization should have rules that are transparent to all. Employees should be made aware of them at the time of joining and any relevant update should be posted timely. Enforcing the same and making sure they are being followed is equally important. For instance, all leave intimations should be approved by a manager through official mails rather than a simple text message to a senior or colleague as intimation. Again, all absences must be supported by statutory declarations or Doctor’s Certificates.

  • Be a concerned employer: Being aware of the employee’s health is a sign of concern that most appreciate. Ensure that the person is fit to resume normal duties. It sends signal to the employee that the office is keeping a tab on his or her absence.

  • Analyze leave records: The administrative officials should be instructed to observe the attendance management system and keep an eye on patterns or specific dates when the person does not come to office. In case of such disappearances it is good to speak to employees and identify the causes as well to make the person alert of the issue.

  • Build a good rapport: Managers need to be in charge of this and build a good understanding with the team members so that they can confide of any problem or leave that they need to take in future. It helps the company’s management in realizing of any upcoming problem and taking a preventive action beforehand.

  • Increase employee health initiatives: A health check-up package or weight loss contest can imbibe a spirit among the workforce and make them feel taken care of. Resorting to such measures has been known to help companies get back employee attention to work and reduction in absenteeism.

  • Give place to a great work culture: Companies that have an interesting work culture face such work issues in a lesser ratio because employees feel more comfortable in office. Reasonable break timings, freedom, and opportunity for social interaction make the workplace friendlier and people are more likely to concentrate better and be more productive.
