Why Outlook OST File Not Updating Properly

Over the years, there have been more and more people using Outlook and Exchange Server collectively. When people are using to enable cache Exchange mode of Outlook then it creates OST file. However, this ost file is the replica of Exchange Server mailbox’s data. Offline outlook data file keeps on updating itself with the exchange mailbox when it is connected to exchange server. But it has been seen that sometimes Outlook OST file is not updating properly. If you want to check whether OST file is updating regularly or not then you need to read next section of this blog.

If you are getting this messages on your screen like Outlook ost file not updating properly then the main reasons behind this error are.

  • a. OST file is majorly damaged or orphan

  • b. Incorrect settings and profile in outlook

  • c. Exchange server is not able to establish synchronization as it goes in downtime

  • d. OST file is not recognized by the MS Outlook or it is effected by some viruses

Want to check whether synchronization is taken place or not?

Choose the ost folder and right click on it and open properties. You need to select synchronization tab and check the statics for this folder. Here you will see two folders – Server folders and Offline folders. If the number of items in both folders are same then synchronization process working properly. But if not, then you need to check and verify your profile.

  • Outlook>> file menu>> Data file management option click it

  • In Account setting dialogue box choose email tab

  • Select mailbox account name and hit change

  • Make Sure about " Use cached mode option" is selected or not, if not then select it

  • After that close Account setting and Outlook and reopen the Outlook to re-establish synchronization

Follow the Below Steps to Synchronize the Offline Folder Automatically

1. If you wish Outlook OST file updating properly whenever you are online, follow the below steps.

  • 2. Hit Tool and select Option>> Mail Setup tab>> Send/Receive

  • 3. Select Send immediately when connected

  • 4. Next hit the Send/Receive, in Send/Receive dialogue box select the "Perform an automatic send/receive when exiting" option is selected.

  • 5. Hit close and ok button

If the above step will not work for updating Outlook OST file properly then you need to choose Exchange OST to PST Software to do this task easily.
