What is document management and drawing management? Construction software: What is the management of documents and drawings?

In today's highly competitive world, no contractor would undertake a project without its power tools. According to an online survey conducted by Contractor magazine, some of the most popular power tools used by contractors are: drills (87%), drills (85%), circular saws (74%), rotary hammers (70%), and reciprocal saws (86%). However, today, with the advent of the cloud (see the section "Building industry in the cloud" for a simple explanation of the "cloud"), expert contractors use the software as the "power tool" Unorthodox that can give them a small advantage over their competitors.

Document management and drawing management.

What is document management software?

What is drawing management software?

Do you need a document or drawing management? Both of them?

I have attended several construction fairs and have spoken with a wide variety of construction professionals. After numerous conversations with these professionals, I realized that there is a misunderstanding about what document management and the administration of drawings mean. Paradoxically, these two terms are used interchangeably. Therefore, the purpose of this blog post is to define the management of documents and the management of drawings, explain what makes them different and illustrate how revolutionary technologies such as document management and drawing management can facilitate and simplify life of construction professionals.

What is "document management"?

"The process of applying policies and rules to how documents are created, persisted and expired within an organization." (Microsoft). Think of document management as the "file box" you can have at home.

MANAGEMENT OF CONSTRUCTION DOCUMENTS

Imagine that in this box you have three folders:

One where you store your business documents,

A second one for legal documents,

And one more for your personal documents.

Now think of this "file box" as your storage management tool in which your business, legal and personal documents are stored securely. You can insert or remove any document you need manually. Although this is an easy way to organize your files, you can only store so many before it becomes a hassle to keep up with countless documents.

What is "Drawing management"?

"The management of drawings is a solution that allows organizations to publish, store and securely deliver drawings online through other forms of communication of electronic documents." (Quality control software). When I first read this definition, I thought: "It sounds like document management." However, drawing management is a subset of document management.

In the "File Box" example mentioned above, we had three folders:

Deal

Legal

Personal

This time, imagine that you are the owner of a car wash project with blue waves. You choose to store all the documents belonging to this project in your business folder. Although there will be numerous revisions throughout this project, you can store all new changes and new documents in a central location, that is, using a document management software. That is good. But what would happen if I wanted to make a quick reference to a change made by the architect, engineer or contractor of this project at a specific date / time? Again, this could be a tedious task that requires a lot of time because you would have hundreds of electronic documents to classify.

For example, the changes made by James, the architect of the car wash project with blue waves, Matt, the engineer, and Alejandro, the contractor.

You can also filter these changes by date and time, p. If you want to see the changes made by James and / or Matt on April 26, 2014 (one year in the project), Rollout can help you retrieve this information with the click of a button.

In summary, a drawing management software is a subset of document management. A drawing management tool like Rollout allows you to keep track of all changes made to a specific folder and quickly reference the documents it contains.
