How to Backup Google Workspace Data to an External Hard Drive (2026 Guide)
Posted: Nov 01, 2026
Google stores your Gmail, Drive files, calendars, and contacts on its own servers, but that does not mean you personally hold a copy. A careless admin can delete an account, ransomware can sync corrupted files everywhere, and an expired subscription can lock a company out overnight. A copy on a drive you own protects you from all three problems.
Cigati Google Workspace Backup Tool
This guide shows how to back up Google Workspace data to an external hard drive using free tools and a dedicated third-party option, so you can pick the approach that fits your situation.
Why You Need a Local CopyMost teams ignore their data until something breaks. A local backup helps when:
- An employee leaves and their account is suspended or deleted
- Files are removed by mistake or on purpose
- Compliance rules require an offline archive
- You are switching platforms and want a safety net
- You need access even when you cannot sign in
Follow the 3-2-1 rule: keep three copies of your data, on two types of media, with one stored off-site. Your Workspace account is copy one, an external drive is copy two, and a second drive kept elsewhere is copy three.
What Can You Back Up?Workspace covers more than email and files:
- Gmail: messages, labels, attachments
- Drive: My Drive, Shared with me, Shared Drives
- Calendar: events and meeting details
- Contacts: names, phone numbers, emails
- Tasks, Keep, Chat: smaller but often valuable data
Shared Drives need special attention. Their files belong to the organization rather than one user, so a personal export usually misses them. Only an admin-level export or a tool with Shared Drive support captures them.
Prepare the Drive FirstA little preparation saves hours later:
- Check free space. The Admin console shows storage use. Choose a drive with plenty of spare room.
- Choose the right file system. FAT32 cannot hold files over 4 GB. Use NTFS or exFAT on Windows, and APFS or exFAT on Mac.
- Encrypt it. BitLocker (Windows) or FileVault (macOS) protects sensitive mail if the drive is lost.
- Connect directly. Use a port on the computer, not a loose hub, for long transfers.
Takeout is Google’s free tool that lets one user download their own data.
- Go to takeout.google.com and sign in.
- Click Deselect all, then tick Mail, Drive, Calendar, and Contacts as needed.
- Choose Send download link via email.
- Select.zip as the file type, since.tgz may need extra software like 7-Zip.
- Set the archive size. Around 10 GB is usually manageable.
- Click Create export. It can take minutes or days.
- Download every part and save it straight to the external drive.
Keep in mind:
- Links stay active for about seven days, with limited downloads per file.
- Extract all parts into one folder, since related files may be split.
- Gmail arrives as MBOX, which needs an email client or converter.
- Files created by others in your folders may be skipped, and sharing permissions are not kept.
- Exporting never deletes anything from Google.
Super administrators can use Google’s Data Export tool to send organization data to a Cloud Storage archive, then download it.
Requirements:
- Only super admins can run it, and they must have 2-step verification enforced.
- You can export everyone, including Shared Drives, or select users by organizational unit, group, or name.
- Archives go to a temporary Google-provided bucket by default.
- All super admins get an email when an export starts.
Steps:
- Sign in to the Admin console as a super admin.
- Go to Menu> Data> Data import & export> Data export.
- Choose all users or specific users under Scope.
- Start the export and watch the status table until it shows Complete.
- Download the archive to your external drive.
Drawbacks: The output is raw MBOX-style data with little format control, there are no advanced filters, and big organizations face plenty of manual downloading. Education editions also require the "All users are 18 or older" label when filtering by group or OU.
Method 3: Cigati Google Workspace Backup ToolNative tools work, but they feel slow when you manage dozens of mailboxes, need PST or PDF output, or want to skip the cloud-bucket step. A dedicated utility like Cigati Google Workspace Backup Tool fills that gap.
Key capabilities (per the vendor):
- Backs up Gmail, Drive, Contacts, Calendars, Tasks, and Keep with folder structure and labels intact
- Exports to PST, MSG, EML, PDF, MBOX, and CSV; contacts as VCF and calendars as ICS
- Bulk processing through CSV user import
- Login via OAuth 2.0, IMAP app password, or Admin Domain-Wide Delegation
- Filters by date, sender, subject, size, and more
- Resume support for interrupted jobs, with duplicate skipping
- Detailed logs of completed, skipped, and failed items
- Local processing, with no credentials stored on external servers
- Drive coverage including Shared Drives, Shared with me, and Trash
Steps:
- Install and launch the tool.
- Pick Mailbox Migration (or the Drive option for files only).
- Choose an authentication method and authorize the account.
- Select mailboxes and the labels or folders to include.
- Choose the output format and set your external drive as the destination.
- Apply filters and click Start.
- Review the report when it finishes.
- Open sample emails, files, and events to confirm they work.
- Compare item counts with the report.
- Store a second copy in a different location.
- Use one folder per account and date.
- Repeat monthly or quarterly, more often for compliance-heavy teams.
- Encrypt the drive and limit who can access it.
- Test-import a sample MBOX or PST occasionally.
- Check legal requirements before deleting anything from Google.
- Link expired: Create a new export with fewer products or smaller archives, and download at once.
- Large archives fail: Use a mid-sized option and a wired connection.
- Files will not copy: Check for FAT32 and reformat if needed.
- Takeout unavailable: Your admin may have disabled it. Ask them to enable it or run an admin export.
- Shared Drive files missing: Use Admin Data Export or a tool with Shared Drive support.
For occasional single-account saves, Takeout is enough. For official domain-wide exports, start with the Admin console. If you want PST output, filters, bulk processing, and direct saving to a drive, a dedicated tool saves a lot of time. Whichever route you choose, keep at least one verified copy on an external drive and refresh it regularly.
Note: Features and steps can change. Confirm current details on Google’s Workspace Admin Help and the vendor’s product page before starting.
