RPA automates high volume, repetitive business processes exactly as performed by human workers. Work is assigned to software robots or "bots" that carry out processes between applications, portals, websites, and other data sources. Basically, software robots transfer data around between applications just as human workers do, clicking from one window to another or working between different systems.

RPA uses automation software technology that interprets the steps of a rules-based, process to create a software robot. Software robots collect, store, retrieve and input information from all your data sources exactly as a human would. Because RPA technology involves mimicking human actions at the user interface level, RPA eliminates having to develop new APIs or replace existing applications.

Processes are carried out by showing the robots step-by-step procedures in exactly the same way a human would use the end user systems—no coding required. RPA software is used to train the robot to read the various screens it needs to work with. For example, one software robot can be trained to gather all the relevant files, combine them into a PDF, and then send an email to notify the appropriate person that the file is ready. Once it is deployed, the robot repeatedly performs the defined task as any human would, only much faster and with less chance for error.

RPA involves work with repetitive steps that do not require much analysis and where users shift back and forth between different application interfaces or multiple systems as part of the process. RPA is particularly suitable to high-volume & highly transactional processes typically found in back-office tasks (such as finance, procurement, supply chain, accounting, customer service and human resources).

Every business consists of a series of tasks, events, and decisions that move work from start to completion through business processes. To some extent, an image capture system which is used to minimize data entry and let the software find the data on documents and input it into a form or system, can be considered as a type of RPA.

RPA is literally a type of outsourcing – outsourcing to a software robot, rather than another country.
