Document Management System is a must for any business today that intends to ensure efficiency in all of its processes. It is because this eliminates the issues companies typically face when it comes to deal with documents proficiently. But before we go any further, allow us to tell you what a DMS is: It’s a digital resource that automates tasks like capturing, organizing, tagging, approvals, and more. They also make it much simpler to lookup files stored in the database utilizing easy to use search engines. All of this, then, makes sure that employees don’t spend their valuable tasks doing menial tasks such as the ones mentioned above and can, instead, focus on things that matter the most.

So, you can see why document management systems are so much in demand all over the globe, yes? While the decision to integrate a DMS in the business is excellent, the process can prove to be slightly challenging, especially when it comes to figuring out which solution to go for. Thankfully, the popularity of three names in particular, i.e., SharePoint, Alfresco, and Nuxeo. To help simplify that decision for you, we have put together a comparison between the three in the context of the factors that matter the most to businesses.

  1. Supported platforms: Among the most critical considerations, it's the platforms on which one can use a DMS. Here, SharePoint takes the lead since it supports a wide variety of options, including web-based devices, Android apps, iOS apps, and Windows. Alfresco and Nuxeo, on the other hand, are compatible with a limited range of accessories and OS; Alfresco gets Windows, Mac, and web-based, whereas Nuxeo can be used only on web-based devices and iPhones.
  2. Integrations: This round, too goes to SharePoint because of the sheer number of combinations it enables. Since it uses a Microsoft Open XLM integration standard, one can integrate not only Microsoft Office tools but also a variety of third-party solutions for CRM, ERP, and more. Alfresco comes in second since it can be combined with several solutions, such as AWS, SAP, MS Office, SalesForce, and more. Though, Nuxeo disappoints significantly in this regard.
  3. Cost: Once again, SharePoint wins this round; it can be used either as a standalone product or as a part of the MS Office 365 bundle. Furthermore, there’s a wide range of enterprise and individual pricing plans one can pick from. Next up — Alfresco; now, this one also fares well in this regard because it offers a tailored quote based on your unique requirements. Finally, Nuxeo is also offering subscription-based plans, though there’s not ample variety on offer in that regard.

The final decision should always be based on the business’ requirements and other factors such as expectations, budgets, goals, and more. Nonetheless, you will likely decide to use SharePoint as a document management solution, because what it has to offer is highly valuable, quite dynamic in nature. And, quite frankly, it is hard to beat its value proposition.
